Job Description

The Inventory Analyst ensures operational readiness by managing the full lifecycle of event assets and luxury tenting inventory. Key responsibilities include performing daily data analysis and cycle counts to maintain system accuracy, forecasting seasonal demand to prevent stockouts, and coordinating with warehouse and sales teams to resolve shortages. This role is also responsible for managing vendor relations, executing purchase orders, and tracking cost-reduction metrics such as turnover rates and sub-rental expenses to support seamless contract fulfillment.
Position Tasks & Responsibilities
- Communicate with warehouse supervisors, warehouse managers and sales managers on a daily basis to maintain awareness of inventory needs for current and future jobs.
- Analyze inventory and usage to make purchasing and inventory maintenance decisions.
- Maintains the accuracy of the inventory software, updates item descriptions, categories, etc. to ensure clear concise record of inventory.
- Manages and reviews equipment and inventory levels, making the determination for any sub-rental needs.
- Provides the sales team with technical specifications and real-time availability updates for high-demand or limited-quantity luxury tenting and event assets.
- Adjust inventory based on input from operations regarding damaged, destroyed or missing equipment.
- Works with Maintenance Lead to ensure items are repaired in time for contract needs.
- Manage and review equipment levels daily; conducts regular cycle counts to ensure an accurate count of new and existing stock.
- Contacts vendors for quotes and purchases; creates and receives new equipment purchase orders in the system.
- Works with warehouse operations team to ensure accurate count of new purchase orders.
- Monitors seasonal demand and historical usage data to forecast future inventory needs and prevent stockouts during peak event seasons.
- Generates weekly “Shortage Reports” to proactively identify contract fulfillment risks before they impact the production schedule.
- Tracks and reports on inventory turnover rates, sub-rental costs, and loss/damage percentages to identify areas for cost reduction.
- Reconciles physical cycle count results with system records and investigates significant variances to identify root causes.
- Evaluates vendor reliability, lead times, and product quality to ensure the supply chain supports urgent contract needs.
- Periodically reviews market pricing to ensure the company is receiving competitive rates on high-volume replacement items and new purchases.

Work Environment

- May be exposed to loud or distracting sounds or noise levels.
- Hours worked/scheduled generally more than 40 hours per week; additional hours may be required or scheduled as needed.
- Work may be across seven (7) days a week based on event; on-call availability may also be required when events are booked at a moment’s notice.
Educational, Technical and Computer Skills
- Rental software or warehouse management system knowledge and experience.
- Microsoft Word, Outlook and Excel knowledge and experience.
Requirements
- Bachelor’s degree.
- Warehouse, delivery, or routing management experience.
Preferred Experience
- Technical ability; experience with computers and software knowledge.
- Point of Rental software experience is a plus.
- Bi-lingual/ability to speak Spanish.
Physical Demands
- Must be able to lift approximately 20–40 lbs. consistently; up to 70 lbs. occasionally.
- Works in close proximity to people, such as in sharing office space.
- May be exposed to loud or distracting sounds or noise levels.
